At OK Heating and Air Conditioning Inc., we stand behind the quality of our work and products. This Refund Policy outlines the terms and conditions for refunds and cancellations of our HVAC services and products.

Service Cancellations

Cancellation by Customer

  • 24+ Hours Notice: Full refund of any deposits or prepayments if you cancel at least 24 hours before the scheduled appointment.
  • Less than 24 Hours: A cancellation fee of $75 may apply to cover scheduling and administrative costs.
  • No-Show: If you are not present at the scheduled time without prior notice, the full service fee or deposit will be forfeited.

Cancellation by OK Heating and Air

If we need to cancel or reschedule your appointment due to unforeseen circumstances (weather, equipment failure, emergency situations), you will receive a full refund of any prepayments or the option to reschedule at no additional cost.

Service Satisfaction Guarantee

We are committed to your complete satisfaction with our services:

  • If you are not satisfied with the quality of our work, please contact us within 7 days of service completion.
  • We will send a technician to assess and address any concerns at no additional charge.
  • If the issue cannot be resolved to your satisfaction, we will discuss appropriate compensation, which may include a partial or full refund.
  • Refunds are evaluated on a case-by-case basis and require documentation of the issue.

Equipment and Parts

New Equipment Installations

  • Equipment orders are custom-ordered based on your specific needs and are generally non-refundable once ordered.
  • If you cancel an equipment order before it has been ordered from the manufacturer, you will receive a full refund minus a 10% restocking fee.
  • Once equipment has been delivered or installed, refunds are not available. However, manufacturer warranties apply.

Defective Equipment

If equipment is found to be defective upon installation or within the manufacturer's warranty period, we will coordinate with the manufacturer for replacement or repair at no cost to you. This does not constitute a refund but rather a warranty claim.

Maintenance Plans and Subscriptions

  • Annual maintenance plans are non-refundable once the first service visit has been completed.
  • If you cancel before any services have been performed, you will receive a full refund.
  • Partial refunds may be considered on a prorated basis if you cancel mid-term due to extenuating circumstances (relocation, property sale, etc.).

Emergency Services

Emergency service calls are non-refundable once a technician has been dispatched to your location. The emergency service fee covers the immediate response and diagnostic work, regardless of whether repairs are performed.

Refund Processing

When a refund is approved:

  • Refunds will be processed within 7-10 business days of approval.
  • Refunds will be issued to the original payment method used for the transaction.
  • Depending on your financial institution, it may take an additional 5-7 business days for the refund to appear in your account.
  • You will receive email confirmation once the refund has been processed.

Disputes and Exceptions

We understand that unique situations may arise. If you believe you have a valid reason for a refund that falls outside of this policy, please contact us directly. We will review your case individually and work with you to find a fair resolution.
